I have been asked (on large institutional/public projects) to make sure that we specify software upgrades for various systems, similar to the elevator and hardware service contracts. Lots of systems need to be covered - HVAC Control Systems, Data Acquisition Systems, Lighting Control, Access Control etc, etc.

It seems that I should specify this in closeout submittals and also in Part 2 for each product/system that requires this.

How do other folks do this? Does anyone consolidate these requirements somewhere?

Cynie,

You could assume some responsibility for general language in Div 01, but require each MEP/FP trade identify their specific requirements.
Good thing you are in an office full of engineers to help you with this task. Give your task force a spiffy name and provide a really early morning breakfast spread.

How far forward are these upgrades expected to be done? Or is this just a requirement that they be up-to-date at the time of substantial completion? Remember that the one year period after construction is a "correction period," not a "do all my maintenance" period. What kind of place do you work for anyway?

Apparently the request came from a particular public school client. I will have to check what period they wanted covered.
Everybody always wants the kitchen sink in the masters.
