This is the format I was taught for amending a spec. via addendum:

How does one refer to items (i.e., paragraphs/sentences/clauses) to be amended if other items are deleted or added prior to item one wishes to reference?

Matthew, by using this method, all the original numbering remains intact, even if deleted. New content must be tracked to ensure that future additions or revisions use the proper reference numbers.

An easier solution, is to reissue the entire document with revisions shown with track change markings. Since most specs are issued digitally in PDF form, I believe this is the most convenient method for everyone on the project. Just replace the prior spec section with the new spec section.

David, you beat me to it. I fully agree about reissuing the section, using track changes.

I see re-numbering of subsequent items as more of an issue with additions. With deletions, the original item numbering can be retained, with only the content associated with that item number deleted.

Does this mean that the content of an item is deleted, but the number remains?

2. Am I right in thinking it is impossible to add a new item between existing items?

3. I hear what you are saying about reissuing the whole section with revisions highighted.

1. Yes, that's what it means.

2. Certainly new items can be added. It just means that existing subsequent items under the same parent need to be sequentially re-numbered.

1. Essentially. It is all the other numbering that remains intact. So if paragraph 3 in a sequence is deleted, paragraph 4 retains its number for future reference.

2. New information can be added to a sequence. If you are creating a new numbered paragraph, it could be a subparagraph perhaps or "Add 2A after paragraph 2" for example.

3. This is the easiest solution, I believe.

@Unregistered Guest is me. I thought I was logged in.

I am still not clear on adding a new item between existing items.

For example:

1. Item 1, UNCHANGED
2. Item 2, DELETED
3. Item 3, UNCHANGED

Is there any way to add an item between 1 and 3 (other than as a sub-item of Item 1)?

Try this Matthew,

Add new item 1A after Item 1. Or in your case: Replace Item 2 with...

1. Item 1, UNCHANGED
1A New items added by addenda
2. Item 2, DELETED
3. Item 3, UNCHANGED
